Integrity in a company cannot be protected by written rules alone. It needs a safe channel where anyone can raise a suspected violation without fear of being exposed or facing retaliation. That need is what led Kalla Group to launch its Whistleblowing System (WBS), an official reporting channel for employees, partners, and the public to report suspected breaches of good corporate governance.

Aistech was trusted to bring that system to life. Not from scratch, but from a design that was already well thought out.

It started with a design

This project followed a slightly different path from most of our work. The Kalla Group team first designed the entire WBS in Figma. They mapped out the public pages for reporters, the reporting form, the status check page, and the admin panel used by the team that handles reports. The design was then handed to Aistech to be built technically, from the interface all the way to the system behind it.

For us, building from a client's own design is a particular kind of trust. The Kalla Group team already understood their users and their internal workflow. Our job was to make sure every screen they designed could actually run, stay secure, and remain reliable over the long term.

Turning screens into logic

A design shows what users see. A system has to decide what happens behind every button. At this stage, the Aistech team built a front end faithful to Kalla Group's visual design, then developed the back end that governs the entire reporting flow.

Every submitted report generates a unique code. That code is the reporter's key to following their report without creating an account or revealing who they are. The status check page is protected by a CAPTCHA to prevent irresponsible automated access. The system also stores supporting attachments such as photos and documents, since reports backed by evidence are easier to follow up.

There are small rules with a big impact, too. Reporters can withdraw a report, but only while it is still marked as submitted. Once an admin begins verification, the withdraw button is disabled automatically so the handling process is not disrupted.

The reporter's side, clear and reassuring

The WBS home page is designed to give people the courage to speak up. Visitors are greeted by a message from company leadership about its commitment to clean governance, followed by a short explanation of the WBS. Seven types of reportable misconduct are laid out clearly, from corruption, bribery and gratuities, and conflicts of interest to breaches of the business and conduct code of ethics. Visitors can also download the WBS pocket guide and the Business and Conduct Code of Ethics, and read the latest updates on the company's integrity campaign.

The reporting flow is shown in six simple steps, from spotting a violation to the report being successfully processed. The form guides reporters to describe what happened, who was involved, where, when, and how, so reports arrive more complete from the start.

Once a report is sent, reporters are not left waiting in the dark. Through the Check Report Status page, they can view their report details, follow its progress on a timeline, and talk directly with the WBS team through a two way chat. Every conversation is kept confidential, and reporters are never required to reveal their identity unless they choose to.

The admin's side, a tiered handling process

Behind the scenes, the WBS team works through an admin panel. All reports are listed in a table showing the unique code, type of violation, reported party, business unit, location, and estimated date of the incident. Admins can search, filter, and export report data to Excel for internal reporting.

Most importantly, the system follows Kalla Group's own handling hierarchy. A report moves from admin verification to review by the WBS Committee, the investigation team, and the board of directors, before it is closed as either substantiated or unsubstantiated. Every status change is reflected immediately on the reporter's side, so both sides always see the same information.

Handover, and still running

Once every feature had been built and tested, the system was handed over to Kalla Group to run independently. To this day, the WBS remains Kalla Group's official reporting channel and can be accessed through its official website at kalla.co.id/wbs.

For Aistech, a system that keeps being used after handover is the most honest measure of success. It means the system was not just finished, but truly became part of how the organization works.

What we take away from this project

The WBS project shows that collaboration does not always have to start from a blank page. When a client already has a clear design, our role is to make sure it keeps its meaning as it is translated into code. Every rule, status, and interaction has to work exactly the way its users need.

Wherever an organization is starting from, whether an idea, a finished design, or an existing system that needs to grow, Aistech is ready to step in at the stage that matters most and see it through until the system is truly up and running.
